Terms of Service

By opening or using ExpenseFlow (the "Service"), you agree to these Terms. If you do not agree, please do not use the Service. These terms are written for a free, shared tool: there is no subscription and no data sale.

1. The Service

ExpenseFlow is a free expense, budget and reimbursement tracking application. You sign in with an account, and your workspaces and records are stored on our hosting provider so the same data appears on every device you use. We provide the Service "as is" and may change, add or remove features at any time.

2. Your data and ownership

You own everything you record. Your workspaces are private to the members you add, and only the owner or an admin of a workspace can invite people or change roles. You are responsible for keeping access to your account and your devices secure, and for keeping periodic exports (Settings → Data & backup) if your organisation needs an offline copy for audit. If you lose access to your account, use the email reset link; if the email itself is lost, contact support@your-domain.example so we can remove the account and its records.

3. Acceptable use

You agree not to:

  • use the Service to record or facilitate unlawful financial activity;
  • send another member abusive, harassing or misleading messages through the in-app chats;
  • attempt to disrupt, reverse-engineer for resale, or impersonate this website;
  • republish the site's content or branding in a misleading way; or
  • use the Service in a way that violates any law applicable to you or your organisation.

4. Accounts

An account needs a real email address, which you confirm before choosing your username. You are responsible for keeping your password secret and for every entry made under your account. Do not share your password or an invite link outside the workspace it belongs to; a username is visible to other members by design, so choose one you are comfortable showing.

5. Advertising

The Service is free and may display advertising to cover operating costs. Advertisements are clearly distinguished from application content, and advertisers have no access to your financial records. See the Privacy Policy for how advertising cookies work and how to opt out of personalised ads.

6. No professional advice

Reports, statements and analytics are bookkeeping aids, not accounting, tax, legal or investment advice. Consult a qualified professional before relying on any output for statutory, audit or compliance purposes. See the Disclaimer.

7. Limitation of liability

To the maximum extent permitted by law, we are not liable for any loss — including loss of data, profits, or records — arising from use of or inability to use the Service. If you use the Service for an organisation, the organisation's own rules about who may record and approve transactions remain your responsibility; access roles in the app are an aid, not a legal control.

8. Termination

You may stop using the Service at any time. Deleting a workspace you own removes its records, and emailing support@your-domain.example to close your account removes the data attached to it. We may withdraw or suspend the Service at any time; exports you have already downloaded remain yours.

9. Changes to these terms

Continued use after the "last updated" date changes means you accept the revised terms. Material changes will be noted on the home page.
